Member satisfaction tracking for gyms

At gyms, member churn is usually silent: members first come less often, then do not renew. Comvo measures the member experience at regular intervals and at moments of use, helping you spot members whose satisfaction is dropping before the renewal period.

Key challenges in the industry

  • Silent member churn

A dissatisfied member does not renew without ever complaining.

  • Equipment and cleanliness

Broken equipment and locker room cleanliness are among the most common complaints.

  • Crowding

Waiting for equipment at peak hours harms the experience.

  • Trainer experience

The quality of group classes and personal training depends on the trainer.

Touchpoints to measure

You can create a separate survey for each touchpoint. You decide the questions, scales and question types (star, score, recommendation, choice, open-ended comment) and deliver them at the right moment by QR code, SMS or email.

  • Entrance and reception
  • Equipment area
  • Group classes
  • Locker rooms
  • Personal training
  • Membership renewal

Sample survey

Members answer the survey on their phone without installing an app. Each question opens on its own screen, and a follow-up question about the reason appears automatically after a low score. You can define all questions and steps as you wish and customize the design to match your corporate identity.

  1. 1-5 (CSAT)Customer satisfaction (CSAT), 1-5: 1 is the lowest and 5 the highest satisfaction.
  2. 1-51-5 rating scale; a low score indicates a negative experience and can become a case depending on your rules.
  3. Yes / NoSingle-choice question; the selected answer can be used as a condition in rules.
  4. 0-10 (NPS)Net Promoter Score (NPS), 0-10: 9-10 promoters, 7-8 passives, 0-6 detractors. The score is calculated by subtracting the share of detractors from the share of promoters.
  5. Open-ended commentThe respondent writes in their own words. When text analytics is enabled, topics, tone and risk-related statements are classified.

Questions, scales and conditional logic are tailored to your gym. Responses in the preview are not sent anywhere.

How Does It Work?

  1. 1 Instant feedback is collected through QR codes in the equipment area and locker rooms.
  2. 2 Members receive a short relationship survey (NPS) every three months.
  3. 3 For members with low scores, a case is opened for the member relations team.
  4. 4 The member is called, the issue is heard and action is taken before renewal.
  5. 5 Clubs and trainers are compared with the same criteria.

Sample alert rules

  • If the locker room cleanliness question is answered "No", a case is assigned to the club manager with a 1-hour resolution time.
  • For members with an NPS of 6 or lower, the case goes to member relations with a resolution time of 3 business days.
  • Text analytics forwards comments reporting equipment faults to the technical supervisor.

In these examples, a low score means 2 or below on a 1-5 scale, 6 or below on the 0-10 recommendation score and 1-3 stars in online reviews. You set the thresholds and resolution times.

Metrics to track

  • Member NPS

You track the recommendation score and detractor rate by club.

  • Issues by area

You see where equipment and cleanliness complaints are concentrated.

  • Trainer and class satisfaction

You compare group classes and trainers.

  • At-risk members

You measure the follow-up rate for members who gave low scores.

Frequently asked questions

How do we import our member list?

The member list is uploaded with Excel or CSV or transferred from your membership system via API; a contact frequency limit prevents the same member from receiving surveys too often.

Can surveys be sent based on the renewal period?

When your membership system sends members with upcoming renewals as events, the survey is sent automatically after the defined delay.

Is there branch comparison for gym chains?

Yes. Clubs are separate units in the organization structure.
